Position - Contract Support Location -Swansea Reporting to - Contracts Manager Desired Experience & or Qualifications •Previous experience of working within a Facilities Management environment •Experience of using a CAFM System (Concept, Maximo etc) •Must be IT Literate: fully competent with PowerPoint, Word, Excel, PDF files and E mail •Excellent organisational & interpersonal skills •Strong written and verbal communication skills •Ability to work unsupervised, take responsibility and make decisions Typical Duties Our client is an international facilities management provider who is currently seeking a Contract Support Administrator in Swansea. Candidates should have excellent administrative skills and will be responsible for providing exceptional customer service and business support, in order to contribute to the continued growth and success of the Business. We are seeking someone who is able to prioritise workloads and manage tasks in a clear and consistent manner with high attention to detail. Previous experience of working within an FM environment is essential; the role will be client facing and will include planning and co-ordination of engineering visits on a dedicated contract. •Plan and arrange call outs, maintenance visits, delivery of materials, extra works within contracted SLAs. •Despatch reactive call-outs to engineers and Sub-Contractors to attend sites and follow progress through to completion •Internal and external liaison with engineers, client, Sub Contractors and Account Managers. •Excellent forward planning of all tasks to ensure contractual targets are met •Up to date completion of Task Management Systems - assigning engineers/Sub Contractors, ETA's, WIP reasons and job completions •Create monthly Customer Report with Contract Manager. •Familiar with daily operations and the specific scope of the contract e.g. which services are covered and which are chargeable. •Create/raise Extra Works jobs. •Create accurate POs in a timely manner. •Review and process supplier invoices. •Raise sales invoices (complete billing) in line with company deadlines at the correct margin. •Run and review WIP reports. Remuneration Package Annual salary up £21,000 - £24,000 (subject to skills, qualifications and experience), 28 days annual leave plus other company benefits.
